What is this Privacy Notice?

This Data Privacy Notice describes the categories of personal data 6th Eckington Scout Group process and for what purposes. 6th Eckington Scout Group are committed to collecting and using data fairly and in accordance with the requirements of the General Data Protection Regulations (GDPR), the regulations set by the European Union and Data Protection Act 2018 (DPA 2018), the UK law that encompasses the GDPR .

We operate as part of the Dronfield and District Scout Council a registered charity with the Charity Commission for England & Wales; charity number 515849This Privacy Notice/Policy applies to members, parents/guardians of youth members, volunteers, employees, contractors, suppliers, supporters, donors and members of the public who will make contact with 6th Eckington Scout Group. The Data Controller for 6th Eckington Scout Group is the Executive Committee who are appointed at an Annual General Meeting.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

If you complete a contact form you will be asked for certain data such as name, email address etc. This data is required only to make contact with you and will not be used for any other purpose nor passed onto any third party.

If you are enquiring about a vacancy for a child to join one of our sections you will be asked to give us some information about the child so that we can determine which, if any, section the child is eligible to join. The information you give will be held confidentially whilst ever your child is on a waiting list or is a member of a section within our Scout group.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

The data we process

The majority of the personal information we hold, is provided to us directly by you or by the parents or legal guardians of youth members verbally or in paper form, or digital form. In the case of adult members and volunteers, data may also be provided by third parties, such as our Criminal Record Disclosure service provider Atlantic Data Ltd.

Where a member is under the age of 18, this information will only be obtained from a parent or guardian and cannot be provided by the young person.

We may collect the following personal information:

  • Personal contact details such as name, title, address, telephone numbers and personal email address – so that we can contact you.
  • Date of birth – so that we can ensure young people are allocated to the appropriate Section for their age and that adults are old enough to take on an appointment with Scouting.
  • Gender – so that we can address individuals correctly and accommodate for any specific needs.
  • Emergency contact information – so that we are able to contact someone in the event of an emergency.
  • Government identification numbers e.g. national insurance, driving licence, passport – to be able to process volunteer criminal record checks.
  • Training records – so that members can track their progression through the Scout programme or adult training scheme.
  • Race or ethnic origin – so that we can make suitable arrangements based on members cultural needs.
  • Health records – so that we can make suitable arrangements based on members medical needs.
  • Criminal records checks – to ensure Scouting is a safe space for young people and adults.

Who we share your data with

We do not share data with anyone outside of 6th Eckington Scout Group.

How long we retain your data

If you leave a comment on this website, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. • The right to erasure – this means that you have the right to request that we delete any personal data we have about you. There are some exceptions, for example, some information will be held by The Scout Association for legal reasons.
• The right to restrict processing – if you think that we are not processing your data in line with this privacy notice then you have the right to restrict any further use of that data until the issue is resolved.
• The right to data portability – this means that if you ask us we will have to share your data with you in a way that can be read digitally – such as a pdf. This makes it easier to share information with others.
• The right to object – you can object to the ways your data is being used.
• Rights in relation to automated decision making and profiling – this protects you in cases where decision are being made about you based entirely on automated processes rather than a human input, it’s highly unlikely that this will be used by us.

We take appropriate measures to ensure that the information passed to us is kept secure, accurate and up to date and kept only for as long as necessary for the purpose for which it is used.

How long do we keep your personal data?

We will retain your personal information, throughout the time you/your child(ren) are a member of 6th Eckington Scout Group .
We will keep any Gift Aid Claim information for the statutory 7 years as required by HMRC.
